European alternatives to Outlook.

Microsoft Corporation, publicly listed on NASDAQ as MSFT, operates Outlook as the default mailbox for a generation of businesses: Outlook.com for consumers, Microsoft 365 / Exchange Online for organisations, with mail content stored on infrastructure under US jurisdiction. Microsoft has invested heavily in EU data residency (the EU Data Boundary for Microsoft 365 keeps much processing inside the EU), but for a German procurement team writing a Schrems II transfer impact assessment, or a privacy-conscious user who wants their mailbox out of reach of US data requests, the underlying ownership is what prompts the search for an alternative.

Eleven European email alternatives make up the shortlist checked against Outlook here, each one verified, DPA sourced and re-checked every quarter, on who legally owns the company, where the mail physically sits, whether messages are end-to-end encrypted, and whether the platform holds a recognised European compliance framework (ISO 27001, BSI C5, EUCS, SecNumCloud).

Proton Mail, Tuta, and Mailbox.org anchor three different priorities on this list. Proton Mail (Switzerland, Geneva, end-to-end + zero-access encryption, Foundation-owned, CLOUD Act exposure: None) has the strongest privacy posture, Tuta is the cleanest fully-German pick (Hannover, own German data centre, post-quantum end-to-end encryption, EU-owned), and Mailbox.org is the strongest procurement-grade German suite (Berlin, ISO 27001 + BSI C5, mail + drive + calendar + office from €1/month).

Does switching mailboxes mean relearning email? Mostly not:

• Your address, if you use a custom domain. Every paid plan here supports your own domain.
• Standard IMAP / SMTP access, so existing desktop and mobile mail clients keep working.
• Calendar and contacts with CalDAV / CardDAV sync across devices.
• Folder structure and rules: the IMAP import preserves your existing folders.
• Aliases, catch-all addresses, and multi-mailbox management on a shared domain.
• Spam filtering, two-factor authentication, and mobile apps.

The losses cluster around the wider Microsoft fabric:

• The deep Microsoft 365 fabric: Teams meetings tied to Exchange calendars, shared room and resource mailboxes, and SharePoint document co-authoring. These do not move with the mailbox.
• Copilot and the Microsoft 365 AI features.
• Outlook-specific niceties some teams rely on (Focused Inbox, certain Exchange-only calendar delegation models). Most have a close equivalent; a few do not.
• The @outlook.com / @hotmail.com address itself, if you do not use a custom domain. That stays with Microsoft, and you forward from it instead.

A mailbox migration off Outlook fits into six steps, done in this order.

1. Inventory what is actually in the mailbox. Note your folder structure, the rules and filters you depend on, your calendars (personal, shared, team), your contact groups, and any shared or resource mailboxes. Shared Exchange mailboxes and room calendars are the items that do not migrate cleanly. Flag them now.
2. Create the new mailbox and add your domain. If you use a custom domain, add it to the new provider and verify ownership (a TXT record), but do not switch the MX records yet. This lets you set up and test the new mailbox while live mail still flows to Outlook.
3. Run the IMAP import. Use the provider's built-in importer (Proton Mail's Easy Switch, Mailbox.org's import tool, Tuta's import, or Infomaniak's migration assistant) to copy your existing folders and messages. Export calendars as .ics and contacts as .vcf or .csv from Outlook and import them into the new account.
4. Set up forwarding from Outlook. Forward incoming Outlook mail to the new mailbox so nothing is missed during the transition, and reply from the new address to begin signalling the change to your contacts.
5. Run both for a week. Test send and receive against external recipients, check that calendar invites and CardDAV/CalDAV sync work on every device, and confirm your filters behave. Most teams catch one or two edge cases (a rule that did not import, a shared calendar) in this window.
6. Switch the MX records last. Once the new mailbox is trusted, point your domain's MX (and SPF / DKIM / DMARC) records to the new provider so new mail lands there directly. Keep the Outlook forwarding active for 6–12 months to catch anything addressed to the old @outlook.com address or sent by contacts who have not updated their address books.
